i build systems so I don’t cry

Two pens, sticky notes and pin featuring lyrics by Taylor Swift. "Its me, hi, I'm the problem it's me." - Ariana Tenine, Fractional COO Firm

I planned my whole day like a responsible adult… and still ended up crying outside my car

I am annoyingly aware of how my brain works, so I had planned out my WHOLE DAY.

Get dressed before my meetings so I can leave as soon as they were done.

Have my bags pre-packed so I'm not scrambling for keys or insurance cards.

I was ready. Of course, I missed one teeny tiny detail. I climbed into my car and realized… I had forgotten to charge my phone.

No stress. I could do that in the car, but I was missing my charger cable. Which is fine, we have plenty back inside our home. So I hopped out with my house key and my phone, and closed my car door…

Which is when I heard my car doors lock immediately behind me. With my car keys, my wallet, and my favorite water bottle all still inside.

Cue all the tears. Cue me kicking myself for not remembering to charge my phone overnight. Cue me wondering why my car auto locks like that in the first place.

I called my husband and he talked me off the ledge, reminded me that the phone I couldn't find was in my actual hand, and that Uber existed. We figured it out. (Of course the doc called to cancel that very appointment while i was en route, so it was all wasted effort BUT THAT'S NOT THE POINT.

I BUILD systems in my BUSINESSES BECAUSE I ALREADY KNOW
I WON'T REMEMBER everything

And frankly, neither will you. As business owners, there are far more thoughts in our head than there are sticky notes, notepads, or pens within reach. We wear all the hats, imagine the vision, make the plans, hire the support, and still wake up at 3am with new ideas.

But this is why I put emphasis on automating and streamlining things as much as possible. Because for all that big brain, visionary work we do, there are 45 admin tasks that still need to get done.

But do YOU need to do the admin work? Probably not. So instead what if we automated….

  • proposal follow ups?

  • invoice management?

  • task creation?

  • welcome emails?

  • client onboarding?

What if you didn't have to setup any more reminders to follow up with leads? What if your sales could close faster, and your follow up invoices had sufficient reminders?

You can lock your keys in your car ANY day of the week. You simply can't plan for everything. So create space for the incidentals. Find ways to delegate or automate the routines. And save your brain space for the vision.

bold of me to assume you have capacity to build
systems while running an empire, i know.

I can feel your eye roll from here. Ariana, this sounds awesome. I'll add it to my never ending to-do list, and circle back in 3-5 months.
Okay, you don't have to yell at me. I'm not the kind of girl who just says “You got this, I believe in you.”

I'm more of “Fine, I'll do it myself" kind of girl. Click the link below if you want me to handle it. 👇👇👇
