How I manage my network in ClickUp

I had 20 coffee chats in 4 days

This is not the first time I've gone on a coffee chat networking spree, but it is the LEAST stressful time I've done it.  

 The first time I did this was early 2025, and I was thoroughly exhausted. A LOT of the conversations felt one-sided (me asking questions, them asking none). I also found myself trying to tweak someone else's system to work for my brain, which meant I essentially had no system. 

 I finally built this complex automated database… and had extremely little engagement from it (probably because i automated one too many emails…)

But I have finally hacked what works for ME (and maybe it'd work for you too!)

I'm going to tell you the easiest, most simple hack for growing your network: Threads.

Through my VIP Days and while collaborating with clients, it's pretty easy to spot patterns, especially in areas that are not within my strengths. So when I need some contacts in these spaces, I put a super easy call out on Threads… and they come out in DROVES. 

It led to at least 44 new connections. Here's exactly how I engaged and tracked them.

the process

I'm going to keep this simple and breezy. But before I tell you my 4 step process I have a VERY IMPORTANT LIFE HACK: Have a dedicated networking day every week (mine is Thursdays). Set your entire Calendly up to only book calls on this ONE day of the week. Do this entire process within this ONE day. You'll thank me later.
 

OKAY, on to my process: 

  1. I send a quick DM over on Instagram along the lines of “Thanks for commenting on my post, I'd love to do a coffee chat, here's my link.”

  2. Immediately after, I fill out a simple ClickUp form with the contact info I need, and set their status as “contacted”. Now they have their own “profile” as a ClickUp task

  3. Fifteen minutes before the scheduled call, I review their profile, and pull up my usual networking agenda. I also update their  with some call details (collab ideas, call date, etc).

  4. Immediately after, I add the recording to the task and send a customized Coffee Chat follow up email right from ClickUp to make sure I thank them for their time.

And that's how I close the loop!

If you have trouble maintaining your network, trust me I DO TOO. Blame the neurodivergence, I guess.

My follow up process is fairly simply - I try my best to keep up with when I last engaged with a connection (dm, comment, email, etc.). And I track the last time we talked (like actual zoom, phone call, or meetup). That's it, nothing crazy.

With those two dates, that's enough to kick off an automation or two that reminds me if it's been over 30 days since we last engaged, or if it's been 90 days since we last talked. This helps me maintain genuine relationships with a simple nudge.
